In last month’s blog, I broke down the difference between delegating and outsourcing—two strategies that allow you to step out of the weeds and into your role as a the CEO of your business. Now let’s take it a step further and talk about how and when to use each.

Delegating is handing off a task to someone already on your team. You’re still responsible for the outcome, but you’re empowering a staff member to take ownership.
When to delegate:
Delegation works best when you invest the time upfront to create a clear process or workflow. Think checklists, scripts, or templates that make success easy to repeat.
When to Outsource:
Outsourcing is especially powerful for project-based work or technical services where an expert can do in hours what might take you weeks.
Before Delegating:
Does someone on my team have the capacity to take this on?
Could this task provide a growth or leadership opportunity for a team member?
Am I willing to provide oversight and feedback until the handoff is smooth?
Before Outsourcing:
Does this task require specialized knowledge or technical skills?
Would it take too much time (or money) to train someone in-house to do it well?
Will outsourcing this task free me up to focus on my highest-value responsibilities?
The goal of both delegating and outsourcing is the same: to free up your time so you can lead, grow, and serve at the highest level. The key is knowing when to build your team’s capacity through delegation and when to bring in outside experts through outsourcing. If you can strike that balance, you’ll create a practice that runs more smoothly, empowers your staff, and gives you back the mental bandwidth you need to focus on what only you can do. Remember, your time is your clinic’s most valuable resource—spend it where it matters most.
