Delegating v. Outsourcing

One of the biggest challenges for business owners is realizing you can't do it all. There comes a point where your time is stretched too thin. That's when you face the decision: Should I delegate this task or outsource it?

The two terms are often used interchangeably, but they’re not the same. Understanding the difference can save you time, money, and frustration — and free you up to focus on the work that really matters.

What is Delegating?

Delegating means assigning tasks to someone within your team or organization. This might be an office manager, administrative assistant, or another staff member you employ.

When to Delegate:

  • It’s important for someone to understand your internal processes and culture.

  • You want to develop leadership and skills within your team.

  • The work requires quick, consistent communication with you, your team or your clients.

Example:

A clinic owner asks their office manager to track and reorder therapy materials and office supplies.

What is Outsourcing?

Outsourcing means hiring an outside professional or company to handle tasks or projects. These are usually specialized services that your internal team isn’t trained for (or that would take too much time away from their core roles).

When to Outsource:

  • The task requires specialized expertise (medical billing, marketing, payroll, IT).

  • It frees up your team from spending hours on tasks outside their strengths.
  • It’s more cost-effective to pay a professional than to train or hire in-house.

Example:

A clinic hires a billing service to manage claims, denials, and insurance follow-ups. It requires expert knowledge, and outsourcing saves time, money, and stress.

Both delegating and outsourcing are about working smarter, not harder. Delegating builds your team and keeps daily operations smooth. Outsourcing brings in experts to handle tasks more efficiently than you or your staff could on your own.

The real secret to growth? Knowing when to do which — and having the courage to let go of the things that don’t require your unique expertise.
