In this month’s newsletter, we’re diving into marketing and referral nurturing systems that actually work for busy practice owners. We are building sustainable ways to stay top-of-mind with referral partners, create meaningful connections with potential clients, and turn one-time inquiries into raving fans.

A marketing system is a repeatable, trackable way to attract Right-Fit Clients, convert them into inquiries, and ultimately turn those inquiries into scheduled clients. As a system, it should run consistently, even when you are busy. Your messaging should clearly answer who you help, what problem you solve, and what makes your approach different. If a parent lands on your page, they should immediately think "this is exactly what we need." 

Which brings us to Solution-Based Marketing (SBM). SBM is about seeing your business through your clients’ eyes. Instead of promoting a list of services, you focus on the real-life challenges your clients face and the meaningful transformation your solutions create. Clients don’t buy services, they buy outcomes.

The 4 Core Parts of a Strong Marketing System

1. Visibility is how people discover you (e.g. social media, website, community presence).

2. Messaging is where many practices fall short because they simply list what services they provide rather than using Solution-Based Marketing. 

3. Conversion is where you turn inquiries into scheduled clients. Once a potential client reaches out, what happens next matters more than anything. Without a system, calls go to voicemail, emails sit unanswered, and families go elsewhere. Your system should provide fast response times, clear "next steps", and communication that builds confidence and trust in you/your clinic as a provider.

4. Consistency - the best marketing strategy in the world won't work if it's not consistent and regularly reviewed to see what is working and what is not.


Inquiry System

When a parent reaches out, they are often concerned, overwhelmed, and likely contacting multiple clinics. Demonstrating that you empathize, offer the solution to their worries, and make the process easy for them will greatly increase your conversion rate.

Must haves:

  • Response within 24 hours (ideally same day)
  • Intake script written for various scenarios and answering/asking all pertinent questions (particularly important if you are delegating/outsourcing intake)
  • Insurance verification workflow
  • Clear explanation of next steps

Referral Source Nurturing

Strong referral relationships are built through consistent communication, providing value (not just asking for referrals), and ease of referral.

Examples of Nurturing Touchpoints:

  • Sending evaluation reports to the physician that referred
  • Sharing helpful resources they can give to their clients/families
  • Sending thank you messages when they refer

The goal is to create a referral pipeline rather than a one-off referral. Like any relationship, your referral sources need to be nurtured. You don't need dozens of referral sources, just a handful of strong ones who consistently think of you.


How to Get Started

  1. Track where your last 10 clients came from
  2. Identify your top 3 referral sources
  3. Create one touchpoint this week (email, drop-off, message)
  4. Audit your inquiry response time and process
